B. Device, Log, and Measurement Data

C. Photographic Data As a photography business, the core of our service involves capturing photographs of you ("Images"). Photos uploaded to our Headshot Scoring Tool are processed by artificial intelligence for quality analysis. These images are stored securely via Amazon S3, a cloud storage service, and are not shared publicly or used for any purpose other than generating your score.

D. Headshot Scoring Tool Data When you use our free Headshot Scoring Tool, we collect your first name, last name, email address, and the photo you upload. We also collect optional context about the photo (intended use case, approximate photo age, and industry). This information is used to generate your scoring results and to follow up regarding our photography services. Data submitted through the Headshot Scoring Tool is retained for up to 24 months to facilitate follow-up communications. You may request deletion of your data at any time by contacting jon@eclipseheadshots.com.

3. How We Use Your Information

We use the information we collect or receive for the following purposes:

  • To facilitate account creation and booking processes.

  • To deliver your service. We use your contact details to coordinate sessions and deliver final Images.

  • To fulfill and manage your orders.

  • To improve our website. We may use information to analyze how our users interact with our website to improve user experience.

  • To measure advertising performance, attribute inquiries to campaigns, and evaluate conversions.

Where configured for a conversion, contact identifiers submitted through a form may be normalized and transmitted in hashed form for advertising measurement or matching.

  • Cloudflare: Used for website hosting, security, abuse prevention, and durable form intake on the teams landing page.

  • AI Analysis Services (for AI-powered headshot quality analysis): Photos submitted through our Headshot Scoring Tool are processed by an AI vision model to generate scoring and analysis. Images are transmitted securely and are not used to train AI models under our current API agreement.

  • TiDB Cloud (for secure data storage): Contact information and scoring data submitted through our Headshot Scoring Tool are stored in TiDB Cloud, a cloud database platform, in accordance with their privacy and security standards.

  • Google Sheets (for operational data backup): Lead information may be synced to Google Sheets for internal record-keeping purposes.

These providers may process information under their own privacy terms. Advertising and analytics providers may receive browser, device, campaign, interaction, conversion, and attribution information as described above.

6. Data Security

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information (including your Images) we process. However, please also remember that we cannot guarantee that the internet itself is 100% secure. Although we will do our best to protect your personal information, transmission of personal information to and from our website is at your own risk.

While we adhere to strict privacy standards regarding your contact information, the usage and public display of your photographs (Images) are governed by the Booking Agreement or Model Release signed prior to your session.

  • Private Client Galleries: Your proofing galleries are private and accessible only via a secure link or password, unless otherwise agreed.

  • Portfolio Usage: We will not display your Images in our public portfolio, social media, or marketing materials without your consent (whether implicit in your service agreement or explicit via a Model Release).
